Refund Policy

1. Overview
This Refund Policy outlines the circumstances under which Sastra Innovations (OPC) Private Limited ("we," "our," or "us") will provide refunds for MedhaOS subscriptions and services. This policy should be read in conjunction with our Payment Terms and Terms of Use.
2. General Refund Policy
2.1 Standard Policy
Unless otherwise specified, subscription fees are generally non-refundable. We provide refunds only in specific circumstances as outlined in this policy.
2.2 Service Nature
MedhaOS is a digital service that provides immediate access upon subscription. Due to the nature of digital services, refunds are limited to protect against abuse and ensure fair use of our platform.
3. Eligible Refund Scenarios
3.1 Service Unavailability
If the Service is unavailable or non-functional for more than 48 consecutive hours due to our error, you may be eligible for a prorated refund for the affected period. This does not apply to scheduled maintenance, which we communicate in advance.
3.2 Billing Errors
If you are charged incorrectly due to our billing error, we will refund the overcharged amount within 30 days of notification. Please contact us immediately if you notice any billing discrepancies.
3.3 Duplicate Charges
If you are charged multiple times for the same service, we will refund all duplicate charges. Please report duplicate charges within 60 days of the transaction date.
3.4 Cancellation Within Trial Period
If your subscription includes a trial period and you cancel before the trial ends, you will not be charged. If you are charged during or immediately after a trial period due to our error, we will provide a full refund.
3.5 Service Non-Delivery
If you are unable to access the Service after payment due to technical issues on our end that we cannot resolve within 7 days, you may be eligible for a refund. This requires documentation of the issue and our confirmation that the problem originates from our systems.
4. Non-Refundable Scenarios
4.1 Standard Cancellations
Cancellation of an active subscription does not entitle you to a refund for the current billing period. You will retain access to the Service until the end of your paid period.
4.2 Plan Downgrades
Downgrading your plan does not result in a refund. You will continue to have access to your current plan features until the end of your billing cycle.
4.3 Usage-Based Charges
Overage charges, usage-based fees, and add-on services are non-refundable once consumed or delivered.
4.4 Change of Mind
Refunds are not provided simply because you change your mind, no longer need the service, or found an alternative solution.
4.5 Violation of Terms
If your account is terminated due to violation of our Terms of Use, you are not eligible for a refund.
4.6 User Error
Refunds are not provided for issues resulting from user error, incorrect configuration, or failure to follow documentation.
5. Refund Process
5.1 Request Submission
To request a refund, contact us at support@medhaos.com with:
- Your account email or tenant ID
- Transaction date and amount
- Reason for refund request
- Supporting documentation (if applicable)
5.2 Review Period
We will review your refund request within 5-10 business days. We may request additional information to process your request. Complex cases may require additional time.
5.3 Approval and Processing
If your refund is approved, we will process it within 10 business days. Refunds are issued to the original payment method used for the transaction. Processing times may vary depending on your payment provider.
5.4 Notification
You will be notified via email of the refund decision and processing status. If your refund request is denied, we will provide an explanation.
6. Prorated Refunds
When applicable, refunds are calculated on a prorated basis based on the remaining unused portion of your subscription period. Prorated refunds are calculated from the date of the qualifying event (e.g., service unavailability) to the end of your current billing cycle.
7. Enterprise and Custom Plans
Enterprise customers with custom agreements may have different refund terms specified in their contract. In such cases, the terms of the custom agreement supersede this policy.
8. Chargebacks
If you initiate a chargeback with your payment provider instead of contacting us first, we reserve the right to suspend or terminate your account. We encourage you to contact us directly to resolve any billing issues, as we are typically able to resolve disputes more quickly than chargeback processes.
9. Refund Timeframes
9.1 Request Deadline
Refund requests must be submitted within 60 days of the transaction date, except for cases involving billing errors or duplicate charges, which may be reported within 90 days.
9.2 Processing Time
Approved refunds are typically processed within 10 business days. The time it takes for the refund to appear in your account depends on your payment provider and may take an additional 5-10 business days.
10. Currency and Exchange Rates
Refunds are issued in the same currency as the original payment. If exchange rates have changed, the refund amount may differ slightly from the original charge due to currency fluctuations. We are not responsible for exchange rate differences.
11. Account Status After Refund
Upon receiving a refund, your account access may be modified or terminated depending on the refund circumstances. If a full refund is issued, your subscription will be cancelled and you will lose access to the Service at the end of the refunded period.

13. Changes to Refund Policy
